If you have kids or a husband who travels for work, or if you pay taxes, or even if you just get mail, you know what I’m talking about when I say that way too much paper enters our house on a weekly basis!
Receipts, tax forms, school projects, tests and homework, insurance claims, credit card statements, utility bills… The list could go on forever. And personally, I’m running out of room. My file drawers are stuffed and overflowing, and I keep thinking that there’s got to be a better way to cut back on the paper clutter and reclaim my space, while still keeping the forms and information I need available.
Enter: The NeatDesk for Mac Desktop Scanner and Digital Filing System.
I reviewed the NeatReceipts for Mac handheld scanner on 5 Minutes for Mom about a year ago when my PC-using friend Jennifer needed a volunteer to test out the Mac version. I raved about it, and it’s true — that portable scanner is great and it helped me eliminate quite a bit of paper around here.
But I have to say, the new NeatDesk Scanner is even better.
When The Neat Company first offered to send me their new NeatDesk Scanner for Mac, I hesitated for just a moment. After all, I already have their portable scanner. Why would I need another one? But since I’m such a gadget girl, I agreed to check it out.
Good move on my part.
My favorite thing about this new scanner? The Automatic Document Feeder. It rocks. As great as the NeatReceipts portable scanner was, it took a long time to feed receipts and papers through one at a time. But with the NeatDesk, I can put a whole stack of paper (up to 50 sheets at a time) in the scanner and it’ll feed them through, one after another, with no further action on my part. It even has a very cool insert with different sized feeders so I can easily scan documents, receipts, business cards, or a combination of the three.
It takes just a second for me to tell the software to scan one side or both sides of the papers I’m working on. And I can tell it I just need an image of the paper or that I need it to perform text recognition so I can analyze the information later.
And what’s even more awesome? It’s fast. Really fast.
Within minutes, I had scanned in a year’s worth of my husband’s business credit card statements — papers I’ll most likely never need, but should keep on hand anyway. I reduced a stuffed file folder to a relatively small file on my computer.
Perfect.
A few other fantastic features of the NeatDesk:
- The NeatWorks software is available for both the Mac and PC. Since I work almost exclusively on a Mac, this was important to me. The Mac version just came out and it works seamlessly.
- The scanner is sleek and attractive, not an item you want to hide in a cupboard and only bring out when you need it.
- The software can automatically analyze your scanned documents and create expense reports and searchable PDF files, or import business cards right into your Address Book. You can also easily export data to Excel or Quicken.
- The NeatWorks for Mac software has that “Mac feel” along with cool Mac options like Smart Collections and Spotlight integration.
- It’s a piece of cake to set up. Simply install the software, plug the scanner in, and you’re ready to go. One-touch scanning means that you’ll be clearing out stacks of paper in no time.

Wow, I hadn’t seen this nifty gadget before. I believe we need the PC version. My husband mentioned the other day that we may get a MAC…as we need an extra computer. We will still keep the old 2 because they work, we just need an additional new one (works faster, a bonus!) as we have 2 older children who use the computer for school.

this is the coolest gadget ever! i’ve been trying to archive stuff but my flatbed scanner is so slow and annoying – this would be great! i could finally get rid of the 5 boxes of papers that have accumulated around my house.
not to mention the files and files of reports from my son’s early intervention teachers. i know i need to keep them but they are on 3 part carbon and deteriorating as we speak. the ability to just scan them and toss them the minute they are written – wow. i can’t even imagine.

Wow! I didn’t even know such an item existed. I am a mom of 4 wonderful children who were adopted from Russia at an older age, take care of great-grandma 3 days a week, and have 2 part time jobs. (Oops, can forget to mention our two sweet but stinky mutts, also part of the family.) But there are papers EVERYWHERE, every room, every surface…I could really put the PC version of the scanner to good use! Thanks for letting us know about it – very comprehensive review.

Thanks for the giveaway…I am usually suspicious of people whose desk is too neat, but at this point my informal filing system of 25 gallon Rubbermaid storage containers is becoming rather unwieldy, a virtual whirlwind of paper. This might be inject a bit of sanity into my life, and my Mac.
